Incoming teaching staff mobility from a non-EU partner university
The central international relations office manages this central budget with the aim of supporting student and teacher mobility within the framework of a 'Cooperation Agreement'.
Overview of the Cooperation Agreements of the Faculty of Bioscience Engineering: (bilateral agreements outside of Europe)
Teacher mobility requires education to be central, so an educational assignment is expected from both incoming and outgoing lecturers.
Budget
- Subsistence allowance up to max. 3 (months) x € 870 possible, divided over 1 or 2 incoming teachers per year per Cooperation Agreement
- Up to 1 week: max. € 500
- Up to 2 weeks: max. € 700
- Up to 1 month: max. € 870
- If the maximum amount turns out to be insufficient, the lecturer or the faculty should be responsible for the additional costs. Only accommodation and meals can be considered as valid expenses within the subsistence allowance.
The subsistence allowance can be collected (monthly) via the central International Relations Office. The teacher has to be notified by the FCI and has to inform the central International Relations Office two weeks in advance to make an appointment so that the payment of the fee can be arranged in time.
Application procedure
The application form can be submitted to Hilde Vandecasteele of the Faculty Committee of Internationalisation (FCI) at the e-mail address: fci.fbw@ugent.be
The application will then be considered at the next meeting of the FCI.
Erasmus teaching staff mobility
Each year, Ghent University has a European/Flemish budget at its disposal, supplemented by a UGent budget that enables it to send its own lecturers to Erasmus partner universities to teach some guest lectures or seminars.

Budget
Travel allowance depends on the distance to the host country (within the framework of a 'Cooperation Agreement'). For this purpose the following table is used:

It’s compulsory to calculate the distances with the following tool.
Outgoing lecturers undersign that the travel allowance they receive under a 'Cooperation Agreement' is the only travel allowance they receive for the same stay.

Reimbursement procedure
The reimbursement file includes the following documents:
- if advanced by themselves: (copy of) invoice, proof of payment, activity report.
- if advanced by the department: transfer document, (copy of) invoice, proof of payment, activity report.
If one or more of these documents are missing, the application will be declared inadmissible and will not be reimbursed. Only if the file is complete, the original will be sent via the FCI employee (Michel.Flement@ugent.be) to the department internationalisation.
